1. Policy Statement
Fudoshin Karate is committed to safeguarding and promoting the welfare of all children and young people in our care. We believe every student has the right to train in a safe, supportive, and respectful environment, free from abuse or harm.
2. Scope
This policy applies to all instructors, assistants, volunteers, parents, and visitors involved in Fudoshin Karate activities. It covers training venues, events, gradings, and online communications involving students under the age of 18.
3. Designated Safeguarding Officer
- Allison Calthorpe, Senior Instructor, is the Club’s Designated Safeguarding Officer (DSO).
- Allison is responsible for managing and reporting child protection concerns and ensuring safeguarding policies are followed.

4. Responsibilities
Instructors and Volunteers Must:
- Hold an Enhanced DBS Check (Disclosure and Barring Service).
- Undertake regular safeguarding training.
- Always act in the best interest of the child.
- Avoid unnecessary physical contact and maintain professional boundaries.
- Report any concerns immediately to the DSO or Club Chief Instructor.
Parents and Guardians Should:
- Support their child’s involvement and communicate concerns respectfully.
- Encourage positive behaviour and engagement with club rules.
- Ensure children are dropped off and collected safely from sessions.
Children and Young People Will Be:
- Treated with respect, listened to, and supported.
- Encouraged to speak up about anything that makes them feel uncomfortable.
5. Recognising Abuse
All club personnel should be aware of the signs of abuse, including:
- Physical (unexplained injuries)
- Emotional (withdrawal, low confidence)
- Sexual (inappropriate behaviour or comments)
- Neglect (poor hygiene, hunger, lack of supervision)
Any suspicion or disclosure must be taken seriously and reported to the DSO immediately.
6. Responding to Concerns
If a child discloses abuse:
- Stay calm and listen carefully.
- Do not promise confidentiality — explain that you must pass on the information.
- Reassure the child that they are doing the right thing.
- Record what was said using the child’s own words.
Report the concern to the DSO or, if they are unavailable, to John McLauchlan (Club Chief Instructor).
7. Photography, Video and Social Media
- Parental consent is required before taking or sharing images of children.
- Photos and videos are only used for promotional purposes with explicit permission.
- Social media use is monitored to protect children’s privacy and safety.
8. Policy Review
This policy is reviewed annually or following significant changes to safeguarding legislation or club operations. All members will be informed of any updates.
